Arthrex is actively seeking a Supervisor – Exhibits Planning who will oversee the day-to-day operations of all exhibit planning functions, leading a team of exhibit planning professionals to ensure seamless execution and alignment with organizational goals. Responsible for aligning team efforts with product verticals, identifying opportunities for budget optimization, and recommending enhancements to business processes. Essential Duties and Responsibilities:

  • Serve as the primary point of contact for exhibit planners, PMO colleagues, Product Marketing Management, and other key stakeholders to ensure consistent communication and alignment.
  • Act as the lead liaison with exhibit houses, vendors, and internal departments to facilitate collaboration during preplanning, onsite execution, and post-event activities.
  • Contribute to the Exhibits Continuous Improvement Project by offering insights and recommendations to enhance operational efficiency.
  • Oversee the accurate distribution of post-show reports and ensure timely dissemination of conference leads to national and international teams.
  • Ensure the team’s completion of post-show reporting, including ROI analysis, attendance metrics, and statistical data for all conferences, with a focus on the AAOS Annual Meeting.
  • Collaborate with the Exhibit Data team and provide content for the exhibits microsite on SharePoint, providing global access to key conference details and updates.
  • Analyze post-show data and expenses to identify budget optimization opportunities and drive operational improvements within the planning team.
  • Collaborate with leadership to develop and refine finance and exhibit SOPs and best practices.
  • Support enhancements to Cvent templates and registration workflows, offering suggestions to improve customer and staff experience.
  • Provide backup support to exhibit planners during peak periods, holidays, and PTO to maintain continuity across exhibit, event, and workshop requests.

 

Knowledge and Skill Requirements/Specialized Courses and/or Training:

  • Broad knowledge of industry practices, customer service, and standards, including experience reading booth CAD drawings and booth design practices.
  • Advanced knowledge of Exhibit planning and execution best practices.
  • Ability to work in a fast-paced, ever-changing environment with minimal direction.
  • Exceptionally high level of attention to detail.
  • Cvent, Salesforce, and other exhibit project management system tools required.
  • Customer Service background
  • Coachable, Team player, self-motivated
  • Advanced level of Microsoft Office, Excel, Word, PowerPoint, and Outlook email experience.
  • Ability to work independently and effectively with internal and external customers.
  • Ability to verbally communicate ideas and issues effectively to other team members and management.
  • Experience in Project Management with the ability to manage multiple projects/assignments concurrently.

 

Education/Experience

  • Bachelor's degree in Hospitality, Finance, Business Management or related field required, preferably in a medical device environment.
  • 5 years’ experience working in a professional environment required
  • 3 years’ experience planning exhibits and events required.
  • Global exhibit experience preferred.
  • CTSM certification preferred.

 

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to communicate effectively and helps to resolve conflicts from occurring. Assists Management team in developing policies and procedures that ensure solutions are consistent with department objectives.

 

Discretion/Latitude

Required to work as part of a team or individually. Exercises considerable latitude in determining objectives. Supports department with high level projects. Work is reviewed for detail accuracy, consistency, customer service, and meeting objectives. Refers to all policies and procedures for detailed instructions.

 

Language and Communication Skills:

Ability to comprehend and apply language skills to the degree required to perform the job based upon the job requirements listed above. Ability to verbally communicate ideas and issues effectively to other team members and management. Bilingual language skills a plus (Spanish, German, Portuguese).
