About the Role

Arthrex is seeking a highly organized and proactive Commercial Support Specialist to provide comprehensive commercial, administrative, and operational support to our Singapore Commercial team.

 

This role is critical in ensuring the smooth execution of sales and clinical operations by supporting quotations, tenders, contracts, invoicing, claims processing, hospital administration, and capital equipment activities. Working closely with Sales, Clinical, Finance, Operations, Product Management, Medical Education, Customer Service, Biomedical Engineering teams, hospitals, and external vendors, you will play a key role in keeping commercial processes accurate, compliant, and running efficiently.

Key Responsibilities

Commercial Administration & Sales Support

  • Provide day-to-day administrative and commercial support to the Singapore Sales and Clinical teams.
  • Prepare quotations, tenders, contracts, and new product submissions for private and public healthcare institutions.
  • Coordinate patient Implant Cards for private clinics, ensuring accurate documentation and timely delivery.
  • Support surgeon education activities by preparing required documentation and coordinating approval processes.
  • Maintain and update commercial databases, trackers, shared folders, and operational calendars, including trial schedules.

Procurement & Invoice Management

  • Process commercial and vendor invoices through SAP, including Purchase Requisitions (PR), Purchase Orders (PO), and goods receipt transactions (MIGO).
  • Coordinate invoices related to employee medical requirements, sterilization services, equipment commissioning, and other approved commercial activities.
  • Manage procurement and ordering of approved commercial supplies and equipment-related items.

Claims & Payroll Administration

  • Coordinate monthly case allowance submissions for Sales Representatives and Clinical Specialists for payroll processing.
  • Support locum charge-form administration, including verification of consumables, pricing validation, and billing coordination with hospitals and clinics.

Hospital Administration & Compliance

  • Maintain hospital access records and coordinate monthly updates of hospital entry requirements.
  • Prepare and submit documentation required for staff access to hospitals and healthcare facilities.
  • Ensure records are maintained accurately and in accordance with company and hospital requirements.

Capital Equipment & Service Coordination

  • Coordinate capital equipment trials, testing, commissioning, maintenance, troubleshooting, and repair activities.
  • Support loaner and temporary equipment arrangements to minimise disruption to customer operations.
  • Prepare and manage operational documentation associated with equipment activities.

Continuous Improvement & Team Support

  • Act as a key coordination point between Commercial and cross-functional teams to ensure actions and approvals are completed on time.
  • Support onboarding of new Commercial team members by providing process guidance and resource access.
  • Identify opportunities to improve workflows, administrative processes, documentation accuracy, and operational efficiency.
  • Maintain high standards of professionalism, confidentiality, compliance, and record integrity

What You'll Bring

Qualifications & Experience

  • Diploma or Degree in Business Administration, Commercial Management, Supply Chain, Healthcare Administration, or a related discipline.
  • 3-4 years of experience in commercial support, sales administration, healthcare administration, or a similar role.
  • Experience within the medical device, healthcare, pharmaceutical, or hospital environment is highly desirable.
  • Experience supporting quotations, tenders, purchasing, invoicing, hospital administration, or equipment-related activities would be advantageous.
  • Experience using SAP or other ERP systems is preferred.

  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Meticulous attention to detail, particularly when handling quotations, tenders, invoices, and compliance-related documentation.
  • Strong stakeholder management and communication skills.
  • Proactive, dependable, and able to follow through on tasks independently.
  • Collaborative team player with a positive and customer-focused approach.
  • Comfortable working in a dynamic and fast-paced environment.

Technical Skills

  • Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Familiarity with SAP and procurement systems is an advantage.
  • Understanding of commercial processes, invoicing, purchasing, and reporting.
