The Job
Your role will be responsible for the planning and implementation of internal and external events within the Medical Sector, with a particular focus on supporting the coordination and delivery of over 200 UK Arthrolab workshops (bespoke customer training events), up to 50 overseas bookings in sister labs across EMEA, and approximately 150 external congresses of varying size nationally. You will manage and support the day‑to‑day event coordination and delivery at all assigned events, working closely with events colleagues, internal stakeholders, and external suppliers. Accountability to internal quality and compliance standards, as well as those of relevant industry regulatory bodies, will be central to the role. We are seeking enthusiastic candidates with fresh ideas, strong organisational skills, and a customer‑focused mindset, committed to delivering events that make a meaningful impact on our target audience and ensuring no detail is left to chance.
Duties and Responsibilities:
- Co-ordinate a high volume of individual events
- Efficient use of our in-house event management software and excellent adherence to quality and process.
- Work closely with our internal sales teams, medical education and events teams in the co-ordination of bookings and event agendas.
- Arrange travel and accommodation for internal staff and external guests (as appropriate) in conjunction with the company policy and guidelines.
- Manage event registrations, booking invitations and meeting room bookings using the company-specific event management software.
- Provide internal and external event communication (where applicable).
- Provide feedback and budget reports as requested.
- Provide Reception, office and event support as required.
- Support the pre-event logistics as required, including but not limited to: registration forms, completion of paperwork, H&S, risk assessment and all other compliance documents, budget creation and forecasting, signage, badge creation, ordering collateral and promotional items, travel and accommodation coordination and on-site activities.
- Support with post-event analysis, including feedback reports.
Education and professional experience:
- Degree in sports medicine or other relevant science degree e.g. human biology, biomedical science, physiotherapy etc
- Experience in a clinical/theatre role, ideally focusing on Orthopaedics.
- Previous sales experience, preferably within a medical or health care setting.
- Ability to manage relationships with professionals and theatre staff.
General requirements:
- Good handling of MS Office applications, Microsoft Dynamics 365 an advantage
- Ability to work on multiple events simultaneously and within deadlines.
- Self-sufficient, well-organised, and reliable working methods.
- Excellent communicative skills, motivation, and team spirit.
- Talent for administration and attention to detail.
- Customer Service.
- Higher level educational achievement within preferred areas such as hospitality, event management or similar.
- Relevant work experience within fast-paced events venue.
Desired requirements:
- In-house events venue or hospitality sector experience
- Passion for customer service and event co-ordination.
- An understanding of marketing and promotional techniques.
- Knowledge of medical compliance requirements an advantage
- Previous use of an event management software system or general experience of working with event software.
Working Arrangements:
Full-time Monday to Friday (40 hours /week), some weekend work on occasion
Regular regional travel throughout the UK as and when needed.
